What this policy covers
This Privacy Policy applies when you visit suite1920.photography, submit a contact or booking form, join the Casting Call mailing list, use an embedded scheduling tool, make an online payment, or otherwise communicate electronically with Suite 1920. “Suite 1920,” “we,” “us,” and “our” refer to the Suite 1920 cinematic boudoir studio in Hot Springs Village, Arkansas. “You” refers to a website visitor, prospective client, client, model, or other person who interacts with these online services.
Session images and releases are separate. This policy covers website and electronic information practices. The creation, storage, delivery, publication, and permitted use of client or model images are also controlled by the signed agreement, consent forms, and model release that apply to the session.
02Information we collect
Information you provide
- Name, email address, and optional phone number.
- The topic and text of a contact inquiry.
- Selected experience, requested or booked date, and hair-and-makeup selection.
- Mailing-list sign-up information and communication preferences.
- Information you choose to include in messages or forms.
Transactions and records
- Payment status, amount, date, and related transaction details.
- Booking, invoice, service, consent, and business correspondence records.
We do not receive or store your full payment-card number through the website; card details are submitted directly to Stripe.
Technical information
- Internet Protocol address, browser and device type, operating system, referring page, requested pages, and date and time of access.
- Cookie identifiers and interaction data collected by hosting or embedded third-party tools.
Sensitive details you choose to share
Because inquiries may concern a private photography experience, a message can contain personal or intimate details. Please share only what is needed. Do not send government identification numbers, full payment-card details, passwords, or intimate images through a general website form.
03How we use information
We use personal information only for legitimate business purposes connected with your relationship with Suite 1920, including to:
- Respond to questions and requests.
- Arrange consultations, bookings, session details, and related services.
- Send confirmations, invoices, service messages, and requested follow-up.
- Process the creative retainer and other authorized payments.
- Send Casting Call news or other marketing only when you sign up, and honor unsubscribe requests.
- Maintain business, tax, accounting, consent, and transaction records.
- Protect the website, prevent fraud or abuse, troubleshoot problems, and improve reliability.
- Comply with legal obligations and enforce our agreements.
We do not use client or model images for marketing merely because someone submitted a website form; image use requires the applicable authorization or release.
04When information is shared
We do not sell or rent personal information. We may disclose limited information to service providers that perform work for us, solely as needed to provide their services:
- IONOS for website hosting and studio email.
- EmailJS for contact-form and invoice-email delivery.
- MailerLite for Casting Call sign-ups and email communications.
- jsDelivr to deliver website code used by the contact and invoice forms.
- Google for embedded Maps, appointment scheduling, and web fonts.
- Stripe for online payment processing.
- Other professional providers when reasonably necessary for accounting, legal compliance, security, or technical support.
Each third party processes information under its own terms and privacy practices, and may process information outside Arkansas or the United States.
We may also disclose information when we reasonably believe disclosure is necessary to comply with law, a court order, or valid legal process; protect the rights, safety, or property of Suite 1920, a client, or another person; investigate fraud or misuse; or complete a merger, financing, sale, reorganization, or transfer of all or part of the business.
05Cookies and external tools
Our hosting provider may automatically create server logs when a page is requested. Embedded or linked services — including MailerLite, Google Maps, Google appointment scheduling, Stripe, EmailJS, Google Fonts, and jsDelivr — may receive technical information such as your Internet Protocol address, browser data, and the page you visited. They may also place or read cookies or similar technologies.
You can limit cookies through your browser settings. Blocking them may prevent embedded maps, scheduling, payment, mailing-list, or form features from working properly. Suite 1920 does not currently use the website to run interest-based advertising or to sell visitor information.
Links to Instagram, Facebook, Google Maps, payment pages, and other external sites take you to services that Suite 1920 does not control. Their privacy policies apply once you leave our website.
06Retention and protection
How long we keep information
We keep personal information only as long as reasonably necessary for the purpose for which it was collected, to provide requested services, to maintain business and consent records, to resolve disputes, and to meet legal, tax, accounting, or insurance requirements. Mailing-list information is kept until you unsubscribe or we no longer need it for the list. Service providers may retain records under their own policies and legal obligations.
Security
We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle. No website, email system, or online transmission is completely secure, so we cannot guarantee absolute security. If you believe information you sent to us has been compromised, contact us promptly.
07Your choices
You may contact us to ask what personal information we hold about you, request a correction, or ask us to delete information that is no longer needed. We may need to verify your identity before acting on a request. We may retain information when required for legal, accounting, safety, fraud-prevention, dispute, or contract purposes.
You may unsubscribe from Casting Call or other marketing email by using the unsubscribe link in the message or contacting us. Service communications relating to an active inquiry, booking, payment, or agreement are not marketing and may still be sent when needed.
If a law where you live gives you additional privacy rights, you may request to exercise them by contacting us. We will not discriminate against you for making a lawful privacy request.
08Adults only
Suite 1920’s services and online booking tools are intended for people 21 years of age or older. We do not knowingly collect personal information from children. If you believe a child has submitted personal information through the site, contact us so we can review and remove it as appropriate.
09Changes to this policy
We may update this policy when our website, services, or legal obligations change. The revised policy will be posted on the website with a new effective date. Material changes may also be communicated through another reasonable method when appropriate.
